Commencement Housing

Enjoy commencement weekend without the frustrations of finding lodging for you and your family. In an effort to provide convenient, low-cost accommodations, Conference and Guest Services is pleased to provide residence hall space for families and guests of graduates. Many guests find that staying in our halls during commencement weekend minimizes parking and dining difficulties and provides a memorable, nostalgic experience.

Guests will have two different options for lodging during the graduation weekend:

  • Non air-conditioned, traditional style room with hall bathroom

The A/C Housing Lottery is now open!

Air-conditioned rooms are only available to those who win a registration spot in the air-conditioned housing lottery. There are only 3 night packages available. You are able to check-in on Thursday or Friday of commencement and check-out any time before noon on Sunday. We are not able to create shorter reservations. Each room reservation is for either single or double occupancy and includes 2 meal tickets for breakfast on Friday, Saturday, and Sunday; lunch on Thursday, Friday, and Saturday; and Dinner on Thursday, Friday, and Saturday.

For guests needing additional meals for youth staying with them in a room or for additional off-campus guests, you may pay at the door.

Due to the high demand and limited supply of air-conditioned spaces for commencement housing, we use a lottery system to fairly distribute these rooms. All individuals who apply for an air-conditioned space will be placed in a random-draw lottery. It does not matter when you sign up for the lottery as long as it is within the entry period. The date you sign up does not signify in the lottery results. Whether you have reserved a non-air conditioned space does not factor into the lottery results. We do not use additional factors to weight the lottery results.

Once the entry period has ended, we will draw lottery entries until the available space is filled and notify everyone in the lottery of the results. Notifications will be sent out via email by Friday, March 25, 2022. For those who have not made a prior reservation, we will ask you to then complete your reservation and make payment at that time.

If you are not allocated an air-conditioned space in the lottery, there is time to make reservations in our non-air conditioned space once the lottery ends in March. We continue accepting non-air conditioned reservations until April 15, 2022.

Non-Air Conditioned - Traditional Hall Bath Style Rooms

All rooms include two twin-beds, each with a set of sheets, pillowcase, pillow, two towels, and a washcloth. Rooms have wireless internet connections, and you will receive log-in instructions at check-in. Residence halls feature one single-sex community bathroom on each floor with toilets, sinks, and shower stalls. Some students will still be in residence, so resident advisors will be on hand to assist you. All rooms include two meal cards. Additional children under the age of 16 may stay in the room (you will need to bring a sleeping bag or air mattress, as no additional bedding is provided).

Non Air-Conditioned Rooms - Spring 2022

  • Thursday-Sunday: $653.00

Air Conditioned - Traditional Hall Bath Style Rooms

We offer a limited number of traditional, hall bath style rooms in air-conditioned buildings. Allocation of this room type is handled through the air-conditioned room lottery.

All rooms include two twin-beds, each with a set of sheets, pillowcase, pillow, two towels, and a washcloth. Rooms have wireless internet connections, and you will receive log-in instructions at check-in. Residence halls feature one single-sex community bathroom on each floor with toilets, sinks, and shower stalls. Some students will still be in residence, so resident advisors will be on hand to assist you. All rooms include two meal cards. Additional children under the age of 16 may stay in the room (you will need to bring a sleeping bag or air mattress, as no additional bedding is provided).

Air-Conditioned, Traditional Hall Bath Style Room - Spring 2022

  • Thursday-Sunday: $733.00

Reservations are required. All rates listed already include applicable sales tax. Each reservation will be charged an administrative fee of $5.50 per room reservation which is already included in the stated rates. The deadline for reservations is Friday, April 15, 2022.

Conference and Guest Services reserves the right to end registration in the event that space is filled; however, we have been able to accommodate all guests in the past in non-air conditioned, traditional space. We cannot accept reservations by phone.

Online/Payment by Credit Card: Payments made online with a credit card are processed fastest, and registrants receive a confirmation email immediately after completing the transaction. Payments by credit card are handled through the university's payment gateway. We accept VISA, Mastercard, Discover, and American Express.

Refunds/Cancellations: If you make a reservation and for some reason cannot attend graduation and need a refund you must email conferences@vt.edu by Friday, April 29, 2022. Please include why you need to cancel and the name of the reservation. You will be refunded the full amount excluding the administrative fee. No refunds or cancellations will be processed after this date.

Guests should be aware that all residence halls used for commencement housing have elevators. Bathrooms are located on each hallway, and please note that bathrooms are designated by gender. While we attempt to have a male and female bathroom on each floor, the closest bathroom may be on the floor above or below the assigned space.

If you or your guests have a special medical condition or disability and desire assistive devices or other accommodations, please enclose a brief description of your needs with your registration. A limited number of wheelchair-accessible rooms are available.

In the lottery for air-conditioned space, disability requests are not considered as part of the selection process.

For reservation groups with guests with mobility concerns, we attempt to locate assignments on lower floors or closer to restrooms as space permits; however, we cannot guarantee a space on the lowest floors or in immediate proximity to the bathroom(s). Please indicate this need on the reservation form.

Building assignments, directions, and other pertinent information will be e-mailed by Friday, April 29, 2022.

Check-in:

  • Thursday between 12 p.m. and midnight at either Pritchard Hall or Ambler Johnston Hall. (Rooms will be available for move-in at 7:00pm.) Note, we are not able to process early arrivals due to preparation time needed as students depart.
  • Friday 8:00 a.m. to midnight at New Hall West.
